Using Tasks across roles and teams

Summary 🧭: Tasks gives different clinic roles one shared place to coordinate work without forcing every team into the same routine. Each workflow can look different, but every Task still needs a clear action, owner, and review date.

Clinics are full of work that moves between humans with different jobs. This page shows how Tasks can survive those role boundaries. The important idea is not the job title; it is that the next action and owner stay visible as the work moves.


Common ways teams use Tasks 🏥

  • Front desk teams can track scheduling follow-up, forms, intake steps, and paperwork.

  • Medical assistants and nurses can coordinate callbacks, lab follow-up, records, and visit preparation.

  • Providers can route follow-up, review outstanding work, and check patient-related tasks.

  • Billing and administrative teams can manage payment questions, membership issues, and operational follow-up.


Set up work that another role can follow 📝

  1. Create a Task from a patient page, sidebar Add Task, or + in Tasks.

  2. Enter the required Description, Assigned to, and Due on fields. Due on controls when the task appears in My Tasks.

  3. Add a Patient when the work is patient-related.

  4. Add optional details such as Tag to system, clinic Tag, Repeat, or Mark as urgent when they help the team understand or organize the work.

  5. Use Comments for updates. Type @ followed by a teammate's name when they need a notification, then choose Save Task.


Let each role build a useful view 🔍

Filters can focus the list by owner, patient, status, timing, tag, system, or mentioned user. Save common combinations under Favorite filters so each role can return to the work it reviews most often.

Good to know 💡: Different roles may use different tags or views, but ownership should not become ambiguous. One teammate or one defined group owns each Task.
