Using Tasks for shared team work

Shared work becomes much less mysterious when everyone can see the same Task instead of maintaining several private versions of reality. This page is about giving teamwork a common place to live while still keeping ownership clear.


Create work another teammate can pick up 🤼

  1. Open Tasks and create a Task.

  2. Write an action-focused Description.

  3. Choose a teammate or group in Assigned to.

  4. Set Due on for visibility in My Tasks.

  5. Add Patient, clinic Tag, or Tag to system as needed.

  6. Save the Task.


Collaborate without losing ownership ⚓

  • Use Comments for updates, questions, and decisions.

  • Use a comment @ mention to notify someone without changing ownership.

  • Use checklist items (subtasks) when several related actions belong to one outcome.

  • Reassign the Task only when the overall owner changes.


Review the shared workload 🔍

Filter by assignee, mentioned user, clinic tag, patient, status, or Due on. Save common combinations under Favorite filters for group queues and recurring team reviews.

Good to know 💡: A group assignment routes work to a shared workflow. Assignment emails are separate and depend

on eligible membership and each user's personal notification setting.
