Best practices for team task workflows

Agree on the clinic's minimum standard 🤝

Good team task workflows make the next action obvious to anyone who opens the task.

Every Task should include:

  • An action-focused Description.

  • The correct Patient when applicable.

  • One teammate or group in Assigned to.

  • A useful Due on date.

  • A clinic Tag only when it helps the team organize or review the work.

A little context for non-human readers...

A good workflow survives lunch breaks, weekends, vacations, and the sentence “I thought you were doing that.” If success depends on one person carrying all the invisible context in memory, the workflow is borrowing reliability from memory instead of building it into the process.


Keep ownership clear 👑

  • Assign the task to a teammate when one person owns the outcome.

  • Assign it to a group when the group shares responsibility for the work.

  • Mention a teammate in a comment when you need input without transferring ownership.

  • Reassign the Task when responsibility actually changes.


Review work consistently 🔄

Use filters and Favorite filters to build a regular review view. During review:

  1. Check open work by a team member or group.

  2. Look for Tasks that have surfaced by Due on.

  3. Review urgent work separately.

  4. Read comments for blockers or handoffs.

  5. Complete finished work and update Tasks whose plan changed.

Good to know 💡: Agree on tag names, group responsibilities, and review times as a team. Consistency matters more than creating a complicated system.
