Decide when to use a Task group

Summary 🧭: A Task group is a shared queue for a defined team that regularly handles the same kind of work. Use a group when any appropriate member can take the Task; use a teammate when one person already owns it.

Use this page for the “should this belong to one human or to a team function?” question. A Task group is helpful when shared responsibility is intentional—not when nobody wants to decide who owns the work.


Know when a Task group makes sense 🧠

Task groups are best for work shared by a team instead of one specific person. Once created, they appear alongside individual teammates in the Assigned to field, making it easy to route work to the right group.

Examples include 📖: Front Desk, Medical Assistants, Providers, Billing, Operations, Referrals, and Lab Follow-up.


Group or individual: Who should own the Task? 🤔

  • Choose a group for shared queues such as Front Desk, Billing, Referrals, or Lab Follow-up.

  • Choose an individual team member when one person owns the outcome from the start.

  • Use a comment @ mention when you need input but want ownership to stay unchanged.


Assign to an existing group 👨‍👦‍👦

  1. Create a task or open an existing task.

  2. Open Assigned to.

  3. Select Groups.

  4. Choose the group that owns the workflow.

  5. Confirm Patient, Due on, clinic Tag, and Description.

  6. Save the task.


Make the queue operational ⚙️

Group assignment works best when the group name is specific, and the clinic has agreed on how members review shared work. Use filters to review tasks assigned to a group, and keep updates in task Comments.

Good to know 💡: Assigning a Task to a group routes it to the shared team workflow. Email delivery is separate and depends on each eligible member's personal Task email setting.
