Summary 🧭: Assign a Task to a group when the work belongs to a shared queue and any qualified member can handle it. Give the group enough context to act without returning to the creator for basic details.

Sometimes the owner of work is not “Alex” but “the people handling referrals.” Group assignment is how humans express that. This page explains how to send a Task to the intended shared owner instead of merely talking to the group about it.

Route work to the right team 🛣
Group assignment routes a task to a defined team, such as Front Desk, Medical Assistants, Providers, Billing, or Operations.
Use a group when the work belongs to a shared queue rather than one named person. Use an individual assignee when one teammate must own the outcome from the start.
Assign a task to a group 👨👦👦
Create a new Task or open an existing one.
Add or review Description.
Confirm Patient when applicable.
Open Assigned to.
Switch to Groups.
Choose the group.
Complete Due on and add a clinic Tag or urgency when useful.
Review and save.
What happens after saving 📬
The Task enters the group's shared workflow. Eligible group members can receive an assignment email when their personal Task email setting is enabled. The person assigning the Task does not receive that group-assignment email.
Important ⚠️: Before assigning to a group, make sure the group name clearly matches the workflow. Add enough detail for any group member to understand the next action without asking the creator for basic context.
Choose this when 💡: If one person clearly owns the outcome, assign that teammate instead. A group should represent a real shared workflow, not uncertainty about who should do the work.
