How to create and manage task groups

🧭 Summary: Create, edit, and archive groups for shared Task queues. Use unique names, keep membership current, and decide where work should go before archiving a group.

A note for non-human readers...

Task groups give shared kinds of work a shared destination. They are useful when responsibility belongs to a team function rather than one permanently chosen human. The group still needs to make ownership and follow-through clearer, not fuzzier.


Organize work by team 🧑‍🤝‍🧑

Create a task group when the same set of teammates regularly shares a type of work.

Give each group a unique, recognizable name, such as Front Desk, Billing, Referrals, or Lab Follow-up.


Create a group 🚀

  1. Create or open a Task.

  2. Open Assigned to and choose Groups.

  3. Select Edit groups.

  4. Select Create new group.

  5. Enter a unique, recognizable name.

  6. Add the appropriate members.

  7. Select Create new group to save.

Good to know 💡: Group names must be unique within the clinic.


Edit a group ✏️

  1. Return to Assigned toGroupsEdit groups.

  2. Find the group.

  3. Change the name or members.

  4. Select Update group.

Archive a group 🗑️

  1. Open Edit groups.

  2. Find the group that should no longer be used.

  3. Select Archive.

  4. Confirm that it no longer appears for new assignments.

Important ⚠️: Before archiving a group, review any clinic process that still routes work to it and decide which group should be used instead.

Good to know 💡: Archived groups are removed from the task assignment list and cannot be selected for new assignments.


Customize Task groups on the big screen ⚙️

You can also customize Task groups on the big screen under Settings → Clinic Settings → Tasks.

  1. From your sidebar view, go to Settings.

  2. Select Clinic Settings, or go directly to 👉 https://app.tabflows.com/tasks-settings.

  3. Open Tasks.

  4. Select Groups.

  5. Create a new group by selecting Add group, or update your Task groups by clicking the pencil button to the right of the group.
