Name Exchange helps several systems agree on which real patient they mean. The colors and matching states are useful, but identity comes first: make sure the records belong to the same human before linking anything consequential across systems.
Patient linking connects the same patient across supported systems for the entire clinic.
Quick checks before you link 🕵️
Open the correct patient in both systems.
Compare name, date of birth, and other identifying details.
Do not confirm the link if any detail is uncertain.
What the button colors mean 🎨
Color | Meaning |
Orange | A likely match was found. Click to confirm and link it. |
Dark blue | This profile is linked and saved for your whole practice. |
Light blue | A different patient is already linked on this screen. |
Grey | No match was found in this system. |
No color | You are signed out of that system. Sign in, and the button comes back. |

Colors are a convenient shorthand for matching state. They are not patient identities. If anything about the patient behind the records is uncertain, solve that uncertainty before making the systems agree with each other.
Link the profiles 🔗
Open the patient in the primary system.
Use Tabflows to open the matched patient in the second system.
Verify that both profiles belong to the same patient.
Hover over the system icon in Tabflows.
Click the link (chain) icon to confirm
The system button turns dark blue — the patient is now hard-linked

Next time anyone opens that patient, Tabflows can jump to the right profile in one click
