Practice Awareness is a map of patterns Sidekick has learned, not automatic proof of a clinic policy, patient fact, permission, or completed action. When an exact fact matters, follow the source that owns that truth.
Every practice runs on unwritten rules. The scheduling quirk. The billing exception. The way one provider prefers referrals handled. This is the invisible operating system of your clinic — and until now, it lived entirely in people's heads. Practice Awareness is where Sidekick captures it, so nothing gets lost and every teammate has the same picture.
Tabflows learns how your clinic thinks
Practice Awareness is a document that Sidekick writes and maintains for your clinic. It lives inside Practice Brain, on its own Awareness tab.
As your team uses Sidekick — chatting, correcting, asking questions — Sidekick learns how your clinic thinks and remembers how your team works. It records those patterns here. No setup is required. The document starts blank and fills in over time.
Why does this matter?
Knowledge doesn't walk out the door. When a team member leaves — or is just out for the day — the judgment, habits, and follow-up patterns they carried stay in Practice Awareness. Think of it as insurance for how your practice runs.
New hires ramp faster. Instead of memorizing every process before they can contribute, a new teammate can lean on Sidekick and review the work it presents — going from day one to operationally ready much sooner.
Every teammate gets the same clarity. Whether it's a new hire or a seasoned provider, Sidekick draws from the same operational map — so everyone works from the practice's actual standard, not whatever version of a process each person happens to remember.
Sidekick gets smarter. The more your team works with Sidekick, the more accurately it learns how your clinic thinks.
You stay in control. Everything Sidekick records is visible and editable. If something is wrong, fix it directly or tell Sidekick to change it.
What does it track?
Practice Awareness organizes what Sidekick learns into sections:
Practice Profile — practice type, membership model, providers and staff, systems in use
Scheduling & Access — how patients book, appointment types, no-show policy, after-hours rules
Communication Norms — primary channels, triage process, response style, fax handling
Billing & Financial Operations — lab billing workflow, payment timing, invoice rules
Clinical Workflows — lab orders, referrals, prescription refills, patient onboarding
Staff Protocols — who handles what, handoff rules, daily tasks, coverage plans
Operating Principles — practice-specific decision rules, efficiency patterns, corrections from staff
Sidekick creates and extends sections as it learns. Your practice may end up with different sections depending on what comes up in conversation.
How is this different from Team Knowledge?
Team Knowledge (the Documents tab in Practice Brain) is content your team uploads — policy documents, pricing sheets, SOPs, forms, and other files you maintain.
Practice Awareness is the operational layer underneath those documents — the judgment, follow-up habits, and coordination patterns that Sidekick picks up from working with your team. Think of it as the difference between a handbook and the way your clinic actually runs.
Both feed into how Sidekick helps your team. Team Knowledge gives Sidekick your official documents. Practice Awareness gives Sidekick the context around how your team actually uses them.
Practice Awareness is also system-agnostic. It captures how your practice decides and prioritizes — not which buttons to click in a specific system. If you ever change your EMR, billing, or communication tools, the way your clinic thinks comes with you.
Where to find it
Go to Practice Brain in the sidebar.
Select the Awareness tab.
The document is displayed with all sections Sidekick has written so far.
If Sidekick hasn't recorded anything yet, you'll see an empty state — it will fill in as your team starts using Sidekick.
