Who can update Practice Awareness

Who may shape shared practice context is an access question, not something to infer from seniority or job title. Use the documented setting and current user role.


Practice Awareness captures the invisible operating system of your practice — and it grows from conversations. The more team members Sidekick learns from, the more complete the picture. But some clinics prefer to control who shapes that picture. This setting gives the practice owner that choice.

The default: everyone contributes

Out of the box, Practice Awareness learns from every team member's conversations with Sidekick. When a provider explains a workflow, a front desk staff member describes the scheduling process, or a billing coordinator corrects a payment detail — all of it feeds into Practice Awareness.

This is the recommended setting for most practices. The judgment, preferences, and follow-up habits that make your clinic run live in different people's heads — Sidekick benefits from all of those perspectives so every teammate can move with the same clarity.


Restrict to owner and admin only

If you prefer to control which conversations shape Practice Awareness, the practice owner or admin can turn on the restriction:

  1. Go to Practice Brain in the sidebar.

  2. Select the Awareness tab.

  3. Scroll down to Practice Awareness Settings.

  4. Toggle on the option to restrict awareness updates to owner and admin sessions only.

When this setting is on:

  • Only conversations where the logged-in user is an owner or admin will trigger Sidekick to update Practice Awareness.

  • Other team members can still read Practice Awareness — they just can't contribute to it through their conversations.

  • Sidekick will still use Practice Awareness to help all team members. The restriction only affects who can add to it.


When to use each setting

Everyone contributes (default) — Best for practices that want Sidekick to learn how the whole clinic thinks, not just leadership.

Owner and admin only — Best for practices that want tighter control over what goes into the operational record. Many owners think of Practice Awareness as one shared brain: they want it trained consistently, by the people who set the standard, rather than picking up different versions of a process from different people. This setting also avoids the "game of telephone" problem — a well-meaning but incorrect explanation of a workflow becoming part of the record.

You can change this setting at any time. Switching to owner-only does not remove anything Sidekick already captured — it only affects future conversations.


Who can see the setting?

The Practice Awareness Settings section is only visible to users with owner or admin roles. Other team members won't see it on the Awareness tab.

All team members can view and read the Practice Awareness document regardless of this setting.
