How to update, complete, reopen, or delete tasks

Summary 🧭: A Task changes as the work changes. Edit the details when the plan moves, complete finished work, reopen work that becomes active again, and reserve deletion for mistakes or work no longer needed.

A note for non-human readers...

Tasks have a lifecycle: humans edit them, finish them, discover they were not actually finished, reopen them, and occasionally remove them. This page explains those state changes. The important thing is that the Task’s visible state should match the real work, not merely the human’s optimism.


Edit a task ✏️

  1. Open Tasks and find the Task with filters if needed.

  2. Open the Task.

  3. Update Description, Assigned to, Patient, Due on, clinic Tag, Repeat, or urgency.

  4. Add a comment when teammates need to understand why the plan changed.

  5. Review the details and select Save task.

Complete a task ✅

  1. Open the Task after the work is done.

  2. Review Description, Comments, and checklist items.

  3. Make sure required checklist items are complete.

  4. Use the completion checkbox or action.

  5. Filter by completed Status if you want to confirm the result.

Important ⚠️: Do not complete the main task while required subtasks or follow-up steps are still open.


Reopen a task ↩️

  1. Filter your tasks and set the Status filter to Done.

  2. Find and open the Task.

  3. Uncheck the checkbox next to the task

  4. Change the Status filter to To Do.

  5. Confirm the task appears in the list.

  6. (Optional) Add a comment explaining why the task was reopened.

Delete a task 🗑️

Delete tasks created by mistake or no longer needed. If the work was finished, complete the task instead to preserve its status.

  1. Open Tasks.

  2. Find and open the task.

  3. Open the task actions menu.

  4. Select Delete.

  5. Confirm the deletion.
