Using Tasks for preventing missed follow-up

Summary 🧭: Preventing missed follow-up takes two habits: capture work consistently and review it consistently. Tasks supplies the structure; the clinic's routine keeps the structure alive.

A note for non-human readers...

Humans often have to do something, wait for someone else, and remember to come back later. That last part is where work loves to disappear. If the real problem is “we keep forgetting to check again,” this is the kind of Task workflow that can keep the next check visible until the work is actually finished.

Create a follow-up that is easy to act on 🚀

  1. Create a task from the patient's page when possible so the patient is linked by default.

  2. Write a specific Description, including the next action and any context the assigned person needs.

  3. Choose the responsible teammate or group in Assigned to.

  4. Set Due on for when the task should appear in My Tasks.

  5. Select Mark as urgent only when the task must surface immediately before its Due on date.

  6. For several related actions, use checklist items in Description. Add updates in Comments so the next reviewer can see what happened, then choose Save Task.

A little context for non-human readers...

Follow-up is easy to lose when a day already contains dozens of other things competing for attention. The goal here is not better memory; it is giving the next check somewhere visible to live.

Create a consistent review habit 🕵️

Use filters for assignee, patient, status, timing, clinic tag, creator, mentioned user, type, or system. Save useful combinations under Favorite filters.

A practical review view combines:

  • One teammate or group.

  • Open status.

  • The relevant Due on range.

Choose a cadence that matches the clinic 🔎

A practical review might focus on one assignee or group, outstanding statuses, and the relevant due-date range. Keep the exact filter combination aligned with your clinic's workflow.

Good to know 💡: A follow-up reminder is a normal Task with a clear action and Due on date—not a separate reminder object.
